Registration conditions and guidelines Pre Course
Article 1: Sponsor agreement
1.1 Sponsorship of the Pre Course is only possible if a sponsorship agreement signed by both parties is concluded between the Dutch Nephrology Days Foundation and the sponsor.
1.2 Without any reservation the following forms part of the total sponsorship agreement:
1.3 The sponsor must send the sponsor agreement - including the approved appendices as referred to in article 2.1 - in duplicate to the
Dutch Nephrology Days Foundation, attn. KAMI van der Pant, PO Box 34, 6130 AA Sittard.
1.4 If the sponsor does not have a sponsorship agreement, the sponsor will notify the Dutch Nephrology Days Foundation without delay. In that case, the Foundation for Dutch Nephrology Days will draw up the sponsorship agreement and send the sponsor in duplicate.
1.5 The sponsorship agreement must explicitly state that the sponsor agrees without reservation to these guidelines and conditions.
1.6 The sponsor agreements must explicitly state that Dutch law applies.
1.7 In all other respects, provisions in a sponsor agreement drawn up by the sponsor may not conflict with these guidelines and conditions.
1.2 Without any reservation the following forms part of the total sponsorship agreement:
- a letter with which the Dutch Nefrology Days Foundation requests to sponsor the symposium,
- the financial substantiation of the symposium by means of a budget,
- the disclaimer accompanying the budget,
- the sponsor agreement signed by the parties.
1.3 The sponsor must send the sponsor agreement - including the approved appendices as referred to in article 2.1 - in duplicate to the
Dutch Nephrology Days Foundation, attn. KAMI van der Pant, PO Box 34, 6130 AA Sittard.
1.4 If the sponsor does not have a sponsorship agreement, the sponsor will notify the Dutch Nephrology Days Foundation without delay. In that case, the Foundation for Dutch Nephrology Days will draw up the sponsorship agreement and send the sponsor in duplicate.
1.5 The sponsorship agreement must explicitly state that the sponsor agrees without reservation to these guidelines and conditions.

1.7 In all other respects, provisions in a sponsor agreement drawn up by the sponsor may not conflict with these guidelines and conditions.
Article 2: Definitions
The sponsorship agreements as referred to in Article 1 are subject to the following definitions and must be named accordingly in the sponsor agreement:
2.1 The Pre Course - hereinafter referred to as “the symposium” - means the multidisciplinary symposium organized at the initiative of the Dutch Nefrology Days Foundation .
2.2 Dutch Nephrology Days Foundation is understood to mean the legal person of the Dutch Nephrology Days Foundation, registered in the foundation and association register of the Chamber of Commerce under number 30165655.
2.3 Organization means the current board of the Dutch Nephrology Days Foundation.
2.4 Speakers means the natural and legal persons who have been invited by the board of the Dutch Nephrology Days to present a nomination during the symposium.
2.5 Attendees are defined as natural persons who participate in the symposium against payment on the basis of their professional knowledge and skills, and are admitted as such by the Dutch Nefrology Days Foundation.
2.6 Sponsors means legal persons who have registered as a sponsor for the symposium by purchasing and timely payment of one of the sponsor packages put together by the board, or legal persons who have been given exhibition space by the board of the Dutch Nephrology Days.
2.7 Exhibition space means the space that has been designated as an exhibition space by the board of the Dutch Nephrology Days.
2.8 Sponsorship means the payment of a financial contribution for which a sponsor package or other products and services are provided by the Dutch Nefrology Days Foundation that do not conflict with the statutory regulations or regulations which are issued by the government and are in force at the time of the symposium.
2.9 Sponsor package means a predetermined combination of products and services that can be purchased at a fixed price. The Dutch Nephrology Days Foundation offers various packages that differ in composition.
2.10 A stand or exhibition stand is a web page to be designed by the sponsor that has been assigned to the sponsor in question by the Dutch Nefrology Days Foundation .
2.11 The digital registration form for sponsors means that part of the website with which sponsors of the symposium can register as such. The guidelines and conditions of the Dutch Nephrology Days Foundation are part of the digital registration form for sponsors.
2.12 A sponsor agreement is understood to mean the written agreement signed by the legal representatives/authorized representatives of the Dutch Nefrology Days Foundation and the sponsor.

Article 3: Financial statement
3.1 After completion and after processing all financial data, the sponsor receives the financial statement of the symposium. The sponsor has the right to inspect service contracts with speakers (provided that a fee has been agreed), insofar as those speakers are BIG registered and therefore fall under the applicable and relevant codes of conduct. A request for access to the service contracts must be made digitally (by email).
3.2 After completion and after processing of all financial data, the sponsor will receive the financial statement of the symposium, along with a schedule
that states how much sponsorship money will be repaid per sponsor package if it turns out that there is a financial surplus.

Article 4: Registration
4.1 Being present as a sponsor during the symposium will only be accepted by the board if the sponsor declares:
- that it has agreed to the guidelines and conditions of the Dutch Nephrology Days Foundation, and
- by full registration including invoice data as a sponsor using the digital registration form on the website nefrologiedagen.nl
Telephone registrations, registrations by e-mail, etc. without receiving a digital registration form for sponsors by the organization are considered not to be legally valid.
4.2 If the sponsor uses purchasing conditions or other stipulations, the guidelines and always prevail in case of conflict terms and conditions of the Dutch Nephrology Days Foundation.
4.3 If a sponsor does not comply with the guidelines and conditions of the Dutch Nephrology Days Foundation and with the legal provisions and code of conduct of the CGR, CHM or other legislative or executive bodies, this sponsor will be further excluded from participation in activities of the Dutch Nephrology Days Foundation. If financial damage is caused as a result of claims, fines, etc., to the Dutch Nephrology Days Foundation by the non- observance, violation or neglect of any legal provision or code of conduct by a sponsor, the sponsor in question will be held liable for the damages suffered.
4.4 The organization will take into account the best wishes and conscience of the wishes of the sponsor as indicated by means of the digital registration form. Allocations are made in order of receipt and from the date and time when registration starts. Previously sent registrations will not be processed.
4.5 Deviation from the standard booking options is only possible after the written approval of the board of the Dutch Nephrology Days.
4.6 After registration, the sponsor will receive an email with a confirmation of registration, including a link with which the invoice details of the sponsor must be filled in and the invoice can be created. The addition of the invoice data and the creation of the invoice must be made within 5 working days after receipt of the digital confirmation.
4.7 Invoices must be paid within the set payment term stated on the invoice. If the invoice is not paid on time, the organization reserves the right to consider or cancel any reservations made, without firing the sponsor of the payment obligation.
4.8 Registration as a sponsor is only possible if the sponsor has fulfilled all its financial obligations from the past.
4.9 Registration as a sponsor is binding. In the event of cancellation by the sponsor before August 1, 2020, the sponsor is obliged to pay 50% of the original principal. In the event of cancellation by the sponsor after August 1, 2020, the sponsor is obliged to pay the full principal.
4.10 The invoice for any additional services and deliveries will be sent to the sponsor by email immediately after the conference and must be paid within the set payment term.

Article 5: Program and CGR/GMH
5.1 The sponsor packages include the session visit of your stand crew. The organization provides a separate login link for this.
5.2 The responsibility for the content of the conference program rests with the organization. The organization is responsible for the invitation of speakers and takes place without interference from third parties, including sponsors, unless explicit written permission has been given by the board, for example in the case of satellite sessions.
5.3 In consultation with the organization and without influence from any sponsor, the speakers themselves determine the content and title of his/her nomination, unless it concerns a session that is established by the sponsor.
5.4 Brand names and product information may not appear in the virtual exhibition space. Company names, on the other hand, do.
5.5 The sponsor has the right to request the name list of the attendees of the symposium from the organization. The sponsor may use the name list made available by the organization for invitations. The invitations are sent exclusively through the organization of the Nephrology Days.
5.6 The sponsor must strictly adhere to the codes of conduct as drawn up by the CGR and the CMH. The organization will create logistical and
organizational conditions to ensure that the enforcement of these guidelines is as simple as possible.

Article 6: Inviting relations
6.1 Provided that the applicable codes of conduct allow this, sponsors will be given the opportunity to invite customers to participate in the Pre Course. Customers must register as a regular attendee on the basis of the available arrangements and have the invoice sent to the sponsor. The registration for attendees provides the possibility (step 2) to put the invoice of the arrangement in the name of the sponsor.
6.2 Registration of invited persons whose presence takes place in the context of professional competence and who wish to receive accreditation points and certificate of participation (if any) granted by their professional association must be registered as an attendee via the conference website on the basis of the available packages. The registration for participants provides the possibility (step 2) to put the invoice of the arrangement in the name of the sponsor.
6.3 Other invited persons who do not require accreditation points and/or participation certificates for their professional activities must be registered as stand staff of the sponsor concerned.
6.4 The late booking rate (+ 25%) also applies to the arrangements for customers and prospects as referred to in Article 6.1 without any exception from the announced date .

You enter your company name and email address. You can also choose from the available sponsor packages. You click on "Continue". You will be taken to the submenu of the registration, but your registration will already have been received at the secretariat, you can take your time for the next steps!
Step 2:
On the following pages you can enter the invoice details and all other details as desired. You can change, add to or remove made reservations yourself (with the exception of the sponsor package). Receive the invoice after you have entered your invoice details.
You will also receive a confirmation at the email address indicated with a link to change and / or add to your registration at a later time.
By registering as a sponsor for the Pre Course, you agree to the terms and conditions and guidelines.

- Make sure that you fill in all requested information correctly and completely, including PO and order numbers.
- All conference documents are sent to the email address that you will enter in the registration system.
- Make sure you enter your email address correctly and carefully.
- Incorrect email addresses or set filters can in the worst case lead to the removal of your reservations, because we receive emails sent to you as "undeliverable".
- Always check that you have received all documents and keep them carefully.
