5. ARRIVAL AT THE CONFERENCE
5.1 Public transportation and parking
Veldhoven does not have a trainstation. A car is the most practical means of transportation. The location has ample parking. In speakerscorner we have reserved a parking ticket for you.
5.2 Hotelroom
Depending on your reservations and presentation, if you have booked a nights stay, you can collect the key for a hotelroom by the reception of the Conferencing centre.

7. INSTRUCTION
7.1 Registration
At arrival please report in the Limburgfoyer (blue zone - see ground plan) to collect your badge. From there we will show you the way to your Speakers Corner in the Meierijfoyer. In Speakers Corner there is a wardrobe for your luggage and coat. The Organisation members that will assist you in Speakers Corner are:

- Edith van der Heijden (program manager)
- Jeroen van Zijl (Technical engineer)
- Marco Kuipers (Technical engineer)
- Donald Scherpenzeel (Media engineer)
Conference bag and programmbook
At registration you will receive a conference bag with a program book. Each program session is on a separate page with an empty page for making notes on the other side.
7.2 Your session
From Speakers Corner you can find, preferably accompanied by your chair, the room where you have your presentation, Afterwards please return to the Meierijfoyer, to complete your participation to the conference .
7.3 Available room technology
The room where you will hold your presentation is equipped with the following technology:
- a laptop with the latest version of Windows
- installed software: Google Chrome, MS-Powerpoint
- a mouse and a pointer
- 1 revers microphone and 1 handheld microphone (for sessions with paneldiscussions more handheld microphones are available)
- beamer and a projection screen
- sound installation
Important: other technical facilities you can request via your personal file via the link you received per email. For a new link, you can contact Natalie van Zijl. Per request the Organisation will review if the facility can be provided within the budget available.
If you present from your own laptop, do not forget to bring the appropriate cables (MacBook) .
7.4 Main language
For the Medical and Basic science sessions the main language is English for the presentations. The Paramedical sessions are presented in Dutch.
7.5 Your presentation and the disclaimer!
You are legally obligated to show the disclosure slide (EN) as the first slide in your presentation and show it to the participants.
7.6 Delivering your Powerpoint presentation
There is no need to deliver your presentation before the conference. Please bring a usb-stick with your presentation on it to the conference. From Speakers Corner we can then place your presentation on the desktop of the correct room-computer. This way you can easily start the presentation once you are in the room.
To enable organizing of the files, please use the following naming format for the presentation files:
session [session number] [speakers lastname] - [title].[extension]
For example:
session 217 Jansen - Integrale approach of murale care.pdf
7.7 After your session
After your session we would like to request your chair to accompany you back to the Meierijfoyer, where we can provide you with declaration forms if required. We would also like to hand over a small present for your effort.

7.8 Reimbursements
Reimbursements for foreign speakers for the Nephrology conference are:
- hospitality (presence) for the day of speaking and and any other days attended, including possible diners and social programs;
- Hotel stays preceding and or after the day of speaking, during the conference days;
- Your travel expanses based on the tax free norm for kilometer allowance or based on public transport 2nd class;
- Other costs directly related to your session such as learning materials (always in consultation with the Organisation).
If you would like to partipate to the conference on days where you are not speaking, then you are present on those days as a paying participant. This way we prevent not allowed excessive hospitality, as mentioned in the 'Code Geneesmiddelen Reclame' (CGR), 'Ethical MedTech Europe' and the 'Gedragscode Medische Hulpmiddelen' (GMH).

8. CATERING
In Speakers Corner coffee, thee, water and snacks are available during the day(s).

For breaks and lunch you are welcome on the Exhibition floor. We offer specialities from 4 european capital cities: London, Paris, Rome and Athene's. Every city has their own plaza, with its own theme-catering. The lighting on the floor will be somewhat dimmed, together with some decorative lighting this creates a pleasant atmosphere.
Feel free to stroll around the 4 plaza's and enjoy the catering and entertainment that is offered.
8.2 Aperitif
The apéritif is Belgian-Dutch and takes place in a separate, but open part of the Beneluxhall. We provide a limited bar (no distilled alcohol) and local snacks in the setting of a pub.
8.3 Symposium's diner
If you registered for the Symposium's diner you can enjoy different bites from over the whole world in a festival like setting in the Beneluxhall. We offer you North and South America, Asian and African snacks. For access you will receive a wristband. The dresscode is 'worldly' for your own interpretation. Untill 22:00 snacks and beverages are free of charge. After 22:00 the drinks are at your own expense. You can by consumption coins at the location itself.
there will be dance entertainment to dance away the night.
At 22:00 hour the musical entertainment will increase. We cannot resist providing you with a didactic moment (cowboy boots are allowed).
If you did not register for the diner, but you would like to participate, please contact the organization and we will update your registration. As mentioned access is not free of charge to prevent offering excess hospitality.
